How We Process Data

The purposes for which Jesus Youth UK processes personal data, our approach to consent, and data minimisation practices.

Purposes of Processing

Jesus Youth UK processes personal data for the following purposes:

Event Management

  • Registering participants for events, programmes, and residential activities
  • Managing dietary and medical requirements to ensure participant safety
  • Maintaining attendance records
  • Communicating event details to participants and parents/guardians
  • Emergency contact during events

Safeguarding

  • Conducting DBS checks for staff and volunteers working with children
  • Recording and managing safeguarding concerns and disclosures
  • Making referrals to statutory agencies where necessary
  • Maintaining safeguarding records as required by law and best practice

Communications

  • Sending updates about Jesus Youth UK activities and events
  • Responding to enquiries from members, parents, and the public
  • Distributing newsletters and information (with consent)
  • Internal communications among staff and volunteers

Volunteer and Staff Management

  • Recruiting and onboarding staff and volunteers
  • Managing training records and compliance requirements
  • Coordinating volunteer rotas and responsibilities
  • Maintaining employment records for staff

Financial Administration

  • Processing staff payroll
  • Managing donations and Gift Aid claims
  • Meeting tax and accounting obligations

Where we rely on consent as the lawful basis for processing, we ensure that consent is:

  • Freely given — individuals have a genuine choice and are not pressured
  • Specific — consent is given for a particular purpose, not bundled with other purposes
  • Informed — individuals understand what they are consenting to, including what data is collected and how it will be used
  • Unambiguous — consent is given through a clear affirmative action (e.g., ticking a box, signing a form)

For children under 13, we obtain consent from a parent or guardian. For young people aged 13 and over, we may accept their own consent where appropriate, while also keeping parents/guardians informed.

Individuals may withdraw their consent at any time by:

  • Contacting us at safeguarding@jesusyouth.co.uk
  • Informing any Jesus Youth UK staff member or leader in writing
  • Using the unsubscribe option in any marketing email

Withdrawal of consent does not affect the lawfulness of any processing carried out before the withdrawal. Where consent is withdrawn, we will stop the relevant processing promptly and delete the associated data unless there is another lawful basis for retaining it.

Data Minimisation

We are committed to only processing personal data that is necessary for the stated purpose. In practice, this means:

  • Forms and registration processes only ask for information that is genuinely needed
  • We regularly review the data we collect to ensure it remains relevant and necessary
  • We do not collect data “just in case” — there must be a clear purpose
  • We anonymise or pseudonymise data where possible, particularly for reporting and analysis

Fairness and Transparency

We are committed to processing data fairly and transparently. This means:

  • Individuals are informed at the point of data collection about how their data will be used
  • Privacy notices are provided in clear, plain language
  • We do not use personal data for purposes that individuals would not reasonably expect
  • We are open about our data processing activities and respond promptly to queries
