Under-18 participants
For each child engaged in a Jesus Youth programme, hold:
- Standing or event-specific consent form (current)
- Medical / dietary / emergency contact info (on the consent form)
- Attendance record (per session/event)
- Code of Conduct signed
- Any incident notes specific to them
- Any safeguarding concern record (in restricted-access section)
Do NOT hold (unless explicit, granular consent and clear purpose):
- Photographs of the child outside the agreed media-consent purposes
- School details, social services involvement (unless relevant to a specific concern and held under safeguarding basis)
- Contact details of family members beyond the emergency contacts provided
Adult participants
Minimum data:
- Name
- Emergency contact
- Any declared medical/dietary need (with consent, kept securely, deleted after event)
- Attendance / registration
Do NOT hold:
- Detailed personal data, family info, religious history beyond what’s needed for the activity
