Post-residential & International Trips

Post-residential documentation and additional requirements for overseas trips.

Post-residential

In addition to standard post-event documentation (section 10):

  • Sleeping plan filed with event records
  • Night supervision rota filed
  • Headcount logs filed
  • Each day’s debrief notes filed
  • Visitor register filed
  • Medical incidents / medication administered log filed
  • Any near-miss noted for future risk assessment

International / Overseas Trips

In addition to all residential requirements:

  • Charity Commission notification if significant overseas activity
  • FCDO travel advice reviewed and printed at time of departure
  • Emergency consular contacts held by ESL
  • Currency, money-handling protocol for young people
  • Passport details held centrally by ESL (numbers/expiry — not the documents); passports themselves carried by young person or held in venue safe with each young person able to retrieve
  • Travel insurance certificate physically with ESL
  • GHIC (Global Health Insurance Card — replaced EHIC for UK residents) for each young person
  • Vaccination records as required for destination
  • Translated emergency phrases if non-English-speaking destination
  • Local safeguarding context researched (laws differ — e.g. age of majority, consent laws, reporting obligations)
  • In-country emergency 24/7 leader identified and known to all leaders
